How much does it cost to use Pay2me?

Invoicing without a company using Pay2me costs nothing in fixed fees – the account is always free. You only pay a fee when you send an invoice: 5.95% on invoices up to 35 000 kr, 3.95% between 35 000 and 100 000 kr, and 1.95% over 100 000 kr. All amounts are exclusive of VAT, and the fee is deducted directly from the invoice amount before your gross salary is calculated.

When is the salary paid out?

As an umbrella employee with Pay2me, you receive your salary on the same day your client pays the invoice. We deduct tax and social security contributions directly and pay out your net salary to your bank account – no waiting for a monthly salary and no chasing payments. Your compensation is paid as a Swedish salary with preliminary tax (A-tax) withheld and reported to the Swedish Tax Agency.

Do you handle tax and social security contributions?

When you invoice without a company using Pay2me, we manage your preliminary tax, pay your social security contributions (employer contributions), and declare VAT to the Swedish Tax Agency (Skatteverket). We also report your salary in the employer declaration, so you don't need bookkeeping, a tax account, or F-tax.

Can I invoice private individuals?

Yes, as an umbrella employee with Pay2me, you can invoice both companies and private individuals without your own business. If the assignment involves household services or renovation, we send a ROT or RUT invoice, so your customer immediately receives the deduction and you receive your salary as usual.

Can I invoice international clients?

Accepted Answer

Yes. With Pay2me, you can invoice clients in other EU countries and outside the EU without your own business. We use the correct invoice template for EU invoices and export invoices respectively, handle VAT reporting, and pay out the compensation to you as a Swedish salary. You are still employed in Sweden and taxed in Sweden; work abroad may require prior approval.

How does it work to be an umbrella employee with Pay2me?

Accepted Answer

Pay2me is a Swedish umbrella employment company (egenanställningsföretag) regulated by Swedish employment, tax and social security law. Umbrella employment with Pay2me means you invoice without a company and avoid the administration that comes with owning your own business. You find and negotiate your assignments yourself, but you invoice through us. Pay2me has F-tax, acts as your employer for the assignment, and handles salary payments, preliminary tax, social security contributions, and VAT.

How do I invoice?

Under Invoicing, you first add your client with contact person and invoicing details. Then, you create an assignment with a short assignment description, and then the invoice itself with the amount and other details. Once the invoice is saved, you can download it as a PDF or email it directly from the service. All invoices are saved under Archive.

Is the invoice sent automatically or do I have to send it?

You send the invoice by emailing it from the system via the mail icon next to the invoice under Archive, or alternatively, print it out and post it yourself. You can also download the invoice and email it from your own email. Before saving, you can preview the invoice.

Where can I find an overview of invoices and which ones have been paid?

Under the menu option Archive and Invoices, all invoices are displayed in an overview with their status, for example, if they are overdue or paid.

Question 11

Clients are not receiving invoices by email even though it says sent. What do I do?

Accepted Answer

This could be due to an incorrect email address or the email ending up in the spam folder. Go to Archive and Invoices, where you can download the invoice as a PDF or email it again. We recommend that you download it and send it from your own email. Also, check the email address you entered for the client under Archive and Clients.

Which invoice templates does Pay2me have?

We have templates for most situations and VAT rates: standard invoice with 25% VAT, ROT/RUT invoice, EU invoice, export invoice, construction invoice with reverse charge VAT, healthcare service invoice, invoice with 6% VAT, and a joint invoice when several people share an assignment.

There are several of us performing an assignment, but the client only wants one invoice – can one invoice result in multiple salaries?

Yes, Pay2me has an invoice template called Joint Invoice. It can be found under the Invoicing tab. An assignment manager can then pre-allocate the salary payment between two or more performers.

How do expenses and receipts work?

Accepted Answer

As an umbrella employee with Pay2me, you report costs related to your assignment as expenses, and these are deducted before your salary is calculated. Expenses are paid out without deductions for tax and social security contributions. Upload receipts, expenses, and travel claims under Expense Reporting, and they will be paid out with your next salary payment. Equipment not related to a specific invoice, such as a computer, should instead be deducted in your tax return.

How does tax work if you're an umbrella employee?

When you invoice without a company via Pay2me, we handle the entire tax administration. From the invoice amount, VAT, our fee, social security contributions, and preliminary tax are deducted – what remains is your net salary, which is paid to your bank account. Your salary is continuously reported to the Swedish Tax Agency (Skatteverket), so the information is pre-filled in your tax return.

How does declaring taxes work as an umbrella employee?

Declaring taxes is simple as an umbrella employee. Since Pay2me pays out your remuneration as salary and reports it to Skatteverket, the amounts are already pre-filled in your tax return – you don't need a business income supplement (NE-bilaga) or any bookkeeping. You receive payslips from us with deducted tax for each payment.

I have a tax adjustment decision and want less tax to be deducted – how do I change it?

If you are to pay less than 30% tax, you can apply for a tax adjustment with Skatteverket. As soon as you have your tax adjustment decision, photograph or scan it and email it to info@pay2me.se, and we will enter your lower preliminary tax into the system. Without a tax adjustment decision, we unfortunately cannot set a preliminary tax lower than 30% according to regulations.

Can you use Pay2me if you have payment defaults?

Yes. You can invoice without a company via Pay2me even if you have payment defaults. We do not perform credit checks – Pay2me is an administrative service that invoices for you and pays out salary.

Can I get an employment certificate from Pay2me?

As an umbrella employee with Pay2me, we can issue an employment certificate for you, just like any employer. Contact us and we will help you with the certificates you need.

Yes. Pay2me has launched Frilansportalen where companies and individuals can advertise assignments free of charge to Pay2me's self-employed professionals (umbrella employees). How do I log in with Mobile BankID from a regular computer?

Select Log in or Create account on the computer and enter your personal identification number. When the "Start BankID programme" box appears, open Mobile BankID on your phone or tablet, enter your security code and authenticate yourself – the service will then start in your computer's browser.

Is the invoice from Pay2me genuine?

Accepted Answer

Yes. The invoice is issued by Pay2me AB, company registration number 559138-8276, Kungsgatan 17, 111 43 Stockholm. We are the contractual party for the assignment and invoice on behalf of the umbrella employee. If you are unsure – call 0771-22 33 55 or email info@pay2me.se, and we will confirm the invoice.

Does Pay2me have an F-tax certificate?

Yes. Pay2me AB holds an F-tax certificate and reports VAT, employer contributions, and tax deductions to the Swedish Tax Agency (Skatteverket). As the client, you should not make tax deductions on the invoice.

Do I need to employ the person I hire?

No. The person is intermittently employed by Pay2me during the assignment. You avoid employment contracts, employer declarations, and employer contributions.

Who is responsible for the work environment?

As the client, you lead the work on the assignment and are responsible for the work environment on-site, just as you would for your own staff. Pay2me is responsible for the employment and administration.

What do I do if there is a complaint about the work?

Complaints, remarks, and claims for price reductions or corrections should be made directly to the umbrella employee who performed the work and should be made before the invoice is fully paid, as Pay2me processes salary payments and payments to the Swedish Tax Agency (Skatteverket) as soon as we have received your payment. Contact us if you cannot reach an agreement.

Can I get a ROT or RUT deduction?

Yes, if the assignment meets the requirements of Skatteverket. Pay2me issues the invoice with the deduction and handles the application to Skatteverket, so you only pay your share.

Yes. Many have their own company for certain clients and invoice other assignments via Pay2me, for example, when the assignment is outside the company's operations or when the client requires an employment arrangement.

Does umbrella employment affect my unemployment insurance (a-kassa)?

Accepted Answer

Since you receive a salary instead of business income, the remuneration is normally considered employment. The conditions differ between unemployment insurance funds, so always check with your own fund before accepting an assignment.

Do I need F-tax registration?

Accepted Answer

No. F-tax registration is associated with running a business. As an umbrella employee, you are employed, and the employer withholds preliminary tax.

Can I invoice as a private individual?

Not on your own behalf. However, you can be employed per assignment by an umbrella employment company that sends the invoice in its name and pays the money to you as a salary.

Will the income be pensionable?

Yes. Since the remuneration is paid out as a salary with employer contributions, it becomes pensionable and is included in your sickness benefit qualifying income.

How much are the social security contributions for an umbrella employee?

Employer contributions are 31.42 percent of the gross salary and are paid by Pay2me as the employer, with money from the invoice amount. Lower contributions may apply to certain age groups according to the Swedish Tax Agency's (Skatteverket) rules.

How much tax is withheld from the salary?

The preliminary tax is 30 percent unless we have received a tax adjustment decision from Skatteverket. With a tax adjustment decision, we apply your decided tax rate.

Who receives the deduction – me or the customer?

The customer. The deduction is a tax reduction for the buyer. Your salary is calculated based on the entire labour cost.

No. Only the labour cost is eligible for the deduction. Material, travel, and machinery rental should be invoiced separately.

An hourly rate is suitable when the scope is unclear. A fixed price is suitable when the delivery is clear and you are efficient – then you benefit from your experience instead of being penalised for it.

How does joint invoicing work when several of us are on the same assignment?

Joint invoicing means that several umbrella employees share one assignment and the client only receives one invoice. When you use the template for Joint Invoice, you distribute the invoice amount proportionally to those who are to receive a share of the invoiced amount. Once the client has paid, a separate salary is processed per person, with individual preliminary tax and a separate payslip. This makes it easy to work in teams without the client having to manage multiple invoices.

What applies to reverse charge VAT for construction?

Reverse charge VAT for construction (reverse charge for VAT) applies when you perform construction services for a company that itself sells construction services more than temporarily. In such cases, we do not add VAT to the invoice – instead, your client reports the VAT. We have a ready-made construction invoice template that handles this, with the correct reference on the invoice. You simply state that the assignment pertains to construction services for a construction company, and we will handle the VAT reporting to Skatteverket. If the client is a private individual or a company outside the construction sector, you invoice as usual with VAT, or with ROT deduction if applicable.
